Everyone has seen the chat bubble in the bottom right corner of a website. Many are useless: they say "Hi, how can I help?" and then point you to a contact form. Others save real time for both the business and the visitor. The difference isn't the tool. It's what you give it to read and what you ask it to do.
This article shows examples by business type, the prices listed on the official pages of two well-known tools, and a simple grid to decide. For a wider view of AI agents in small businesses, see my AI agent use cases for business.
In short. A useful chatbot answers from your real content, knows how to say "I don't know" and hands over to a person with a summary of the request. Market tools have limited free plans, then monthly plans that depend on the number of conversations. If you get fewer than a handful of questions a week, start by improving your FAQ and your form.
What types of website chatbots are there?
| Type | How it works | Good for | Limit |
|---|---|---|---|
| Scripted chatbot | Buttons and pre-written answers, like a decision tree | Routing 3 or 4 frequent requests, qualifying a lead | Doesn't understand a question phrased differently |
| AI chatbot connected to your content | A language model that answers from your FAQ, your pages and your documents | Answering varied questions at any time | Can be wrong: it needs safeguards |
| Live chat with AI backup | A person answers during business hours, AI takes over or drafts replies | Online stores, services with a team on hand | Needs someone to answer |
What are good website chatbot examples for a small business?
The five examples below are typical cases, not client projects. They show what the visitor types, what the chatbot answers and what happens next.
| Business | Visitor types | Chatbot answers | Next |
|---|---|---|---|
| Bakery, local shop | "Are you open on the public holiday?" | The special opening hours the owner entered | Offers to order a celebration cake through the form |
| Trades | "I have a leak under the sink, how soon can you come?" | The service area and usual lead time, then asks 3 questions (address, type of leak, photo) | The tradesperson gets a summary by text or WhatsApp |
| Practice (physio, lawyer, accountant) | "How do I book a first appointment?" | How it works, what to bring | Links to the practice's online booking |
| Online store | "Where is my order?" | The order status, after checking the order number and email | Hands over to a person if the parcel is late |
| B2B services | "Do you work with 50-person companies?" | The relevant services and examples of engagements described on the site | Offers a call slot and creates the record in the CRM |
What the good examples share: the answer comes from information the business actually wrote down, and the conversation ends with a useful action (a slot, a request passed on, a status). A chatbot that leads nowhere is just a slower form.
How much does a website chatbot cost?
There are two main routes: an off-the-shelf tool on a subscription, or a custom-built chatbot. Here is what the pricing pages of two widely used tools showed on October 17, 2026. I have no commercial link with either; they are here as a reference point.
| Tool and plan | Listed price | AI features |
|---|---|---|
| Crisp, free plan | $0 | Website chat, 2 seats, no AI credits |
| Crisp, Mini | $45 per month per workspace, excluding VAT | $5 of AI credits included, about 90 automated conversations according to Crisp |
| Crisp, Essentials | $95 per month per workspace, excluding VAT | Multichannel AI chatbot, $25 of AI credits (about 450 conversations) |
| Tidio, Free | $0 | First 50 conversations with the Lyro AI agent free (one time) |
| Tidio, Lyro AI agent on its own | From $32.50 per month | From 50 Lyro conversations per month |
Prices change often: check the official pages before you choose. The main thing to remember is the logic: the cost depends on the number of conversations handled by AI, not just the number of users.
A custom chatbot is paid mostly upfront (a fixed-price build), then in running costs: hosting and the usage cost of the AI model, billed by the model provider according to the volume of text processed. Custom makes sense when the chatbot has to act inside your tools (calendar, order system, CRM) or follow rules specific to your business. I break down the running cost in how much an AI agent costs.
Do you need a chatbot on your website?
| Your situation | My advice |
|---|---|
| Fewer than a handful of questions a week | A clear FAQ and a short form are enough |
| Always the same questions (hours, area, lead times, rates) | A chatbot connected to your FAQ saves time |
| Lots of visits in the evening and at weekends | A chatbot that qualifies the request and passes it on the next morning is useful |
| Complex or sensitive requests (health, legal, large quotes) | Use a form and a human reply |
| Nobody can review the conversations | Wait: a chatbot nobody checks ends up giving wrong answers |
Before choosing a tool, write down the questions your clients actually ask, with your answers. That work pays off either way: it becomes your FAQ, and it is what the chatbot will read. The website requirements template helps you organize it with the rest of the site.
How do you build a website chatbot that works?
- Give it one source: your FAQ, your pages, your terms. It shouldn't improvise from general knowledge.
- Teach it to say "I don't know" and offer a way to reach you, rather than guessing.
- Plan the handover: when a request goes beyond its role, it passes on a summary (who, what, how to call back) by email, text or WhatsApp. For an assistant that lives on WhatsApp itself, see the WhatsApp AI agent with n8n tutorial.
- Say it's an AI in the very first message.
- Read the conversations every week at first, and fix the FAQ wherever it hesitated.
That is exactly what I build in my custom AI agents for business projects: a chatbot that reads your content, stops when it should and passes clean requests on to you. It all starts with a free mockup built on your case.
What are the limits and obligations of a website chatbot?
- It can be wrong. A language model can state a mistake with confidence. Hence the single source, the fallback sentence and the reviews.
- Telling visitors. In the EU, the AI Act (article 50) requires that people be told they are interacting with AI, unless it's obvious from the context. The text published in 2024 says this obligation applies from August 2, 2026.
- Personal data. Conversations contain names, emails, sometimes more. Under the GDPR, inform visitors, pick a tool that doesn't reuse the data and limit how long you keep it. Outside the EU, check your local privacy rules.
- Cookies. Some chat widgets set cookies or trackers. Check what yours does and whether it has to go through your consent banner.
- It doesn't replace a good website. If visitors keep asking the same question, maybe the page doesn't answer it. Fix the page first.

Frequently asked questions
Is there a free chatbot for a website?
Yes, several tools have a free plan (Crisp and Tidio, for example), but it is limited: few conversations handled by AI, or none at all. These plans are fine for trying website chat, rarely for regular use with AI.
How much does an AI chatbot cost for a small business?
With a market tool, expect a monthly subscription that depends on the number of conversations handled by AI; in October 2026, the Crisp and Tidio pricing pages listed paid plans from a few tens of dollars a month. A custom chatbot is paid mostly upfront, then by usage.
Does a chatbot replace a contact form?
No, it complements it. The form remains the simplest path for a specific request. The chatbot answers questions before contact and qualifies the request when nobody is available.
Do you have to tell visitors they are talking to AI?
In the EU, yes. The AI Act requires telling people they are interacting with AI, unless it's obvious from the context. One sentence in the first message is enough.
Can a chatbot book appointments?
Yes, if it is connected to your online calendar. It offers free slots, books the appointment and sends the confirmation. For a practice or a tradesperson, it's often the most valuable use.
