An AI receptionist that answers the phone when you can't

An AI phone agent is an automated receptionist that talks: it picks up, says it is an AI, answers common questions from your own information, books an appointment or takes a message, and hands the call to a person on request. After each call, you get a written summary. I build it around your business.

What changes for you

What happens to your missed calls?

  1. 01

    The phone rings during a meeting or on a job site.

    You can't pick up. The client who wanted a quote calls the next company on their list.

  2. 02

    The same questions, ten times a day.

    Hours, address, lead times, "do you do this?". The answer never changes, but someone has to stop and give it.

  3. 03

    A voicemail nobody checks in time.

    Messages pile up, poorly noted, and callbacks happen two days later.

How it works

How does an AI phone answering service work?

You keep your number. We decide together when the agent picks up: all the time, only outside business hours, or when nobody answers after a few rings.

  1. call forwarding

    The call comes in

    Your line forwards the call to the agent based on the rules you chose. Your number stays the same for your clients.

  2. first sentence

    The agent introduces itself

    It says your company name and makes clear the caller is talking to an AI assistant. If the call is recorded, it says so too.

  3. your information

    It answers

    Hours, service area, services, lead times, order status: only from information you have approved.

  4. calendar or CRM

    It takes action

    It offers free slots from your calendar and books one, or takes a complete message (name, number, need, urgency).

  5. on request

    It hands off

    If the caller asks for a person, or the case is outside its role, it transfers the call or takes a message for a callback.

  6. after the call

    You get the summary

    A written summary of every call, by email, WhatsApp or in your CRM, with what is left to do.

Example

What does a call with an AI agent sound like?

Take a plumber out on a job. The agent picks up, answers, offers a slot and notes what matters. The plumber reads the summary between two jobs.

Fictional example, to show how it works.

AI agent · 10:47 amHello, Miller Plumbing. I'm the company's AI assistant, Sam is out on a job. I can answer your questions or book you an appointment.

CallerI have a leak under my sink. Could someone come this week?

AI agentI can offer Thursday at 2 pm or Friday at 9 am. If water is running constantly, I can also pass your number to Sam right now.

Summary sent · 10:50 amNew client, leak under sink, not urgent. Thursday 2 pm added to the calendar. Address and number in the record.

Honestly

What it does, what it doesn't

What the agent does

  • answers common questions from your approved information;
  • books, moves or cancels appointments in your calendar;
  • takes a complete message and flags how urgent it is;
  • picks up outside business hours, evenings and weekends;
  • sends you a written summary of every call.

What it doesn't do

  • pretend to be human: it says it is an AI;
  • make up a price, a lead time or a promise that isn't in your information;
  • give medical, legal or financial advice, or handle a life-threatening emergency: it points to a person or to emergency services;
  • make sensitive decisions (refunds, discounts): it passes them on;
  • call prospects for you: this page is about an agent that answers incoming calls.

Handing off to a person

When does the agent hand off?

Handoff rules are written with you before launch, and tested during the demo.

On requestalways
The caller says "I want to talk to someone": the agent transfers to the number you set, without pushing back.
Sensitive casesrules set together
Complaints, disputes, emergencies, key accounts: you choose which topics go straight to a person.
Doubtno guessing
If the agent doesn't understand the request or lacks the information, it says so and offers a callback instead of improvising.
Nobody picks upplan B
If the transfer fails, the agent takes a detailed message and alerts you right away for a quick callback.

Privacy and caller notice

Is an AI agent on the phone legal?

Yes, as long as callers are told and you keep only what you need.

  • Say it is an AI.In the EU, the AI Act (Article 50) requires that people be told they are interacting with an AI system, unless it is obvious. My agents say so in the first sentence, wherever you operate.
  • Announce call recording.Under French rules, the CNIL (the French data protection authority) says each caller must be told at the time of the call about the purpose, who receives the recordings, their right to object and their right of access. Other countries have their own rules, which we check for yours.
  • Keep the minimum.By default, I suggest keeping the written summary rather than the audio, with a retention period we set together.
  • Know where data goes.I tell you which providers process the voice and the text, where, and under which data processing agreement. I pick plans whose terms exclude training models on your data.
  • Have your notices checked.I draft the greeting and the privacy notice, but I'm not a lawyer: have them reviewed by your counsel or your DPO if you have one.

FAQ

AI phone agent: your questions

Do I need a new phone number?

Usually not. Your line forwards calls to the agent based on the rules you choose: all the time, outside business hours, or when nobody answers. I check what your carrier allows with you before the quote.

Do callers know they are talking to an AI?

Yes. The agent introduces itself as an AI assistant in the first sentence and offers a person at any time. The EU AI Act requires it, and it is also more honest with your clients.

Can it book appointments in my calendar?

Yes, if it has access to your online calendar or booking tool. It only offers free slots, following your rules (duration, area, minimum notice), and you get the confirmation.

What if the agent doesn't know the answer?

It says so, then transfers the call or takes a detailed message for a callback. It only answers from information you have approved and never makes up a price or a lead time.

How much does an AI receptionist cost?

There are two parts: the build, at a fixed price after the demo of the free mockup, and usage (phone minutes and the AI model), billed by the providers based on volume. I estimate that second part in the quote from your call volume.

Are calls recorded?

Only if you decide so, and the caller is then told at the start of the call. By default, I suggest keeping a written summary rather than the audio, with a retention period we set together.
