In a short-term rental management business, a good part of the day goes into the same messages: thanks for booking, here is the address, here is the lockbox code, the Wi-Fi, the checkout time. Nothing hard, but multiplied by ten or twenty listings, it takes hours every week, and one slip is enough to leave a guest stuck at the door at 11 p.m.
This guide starts with what Airbnb already does well, then shows what to add when you manage several listings. To measure what these messages cost you today, the automation ROI calculator does the math in two minutes.
Does Airbnb have automated messages?
Yes. Airbnb's Help Center describes scheduled quick replies: message templates sent automatically before or after an event. Airbnb's own examples: a thank-you right after confirmation, a message a few days before arrival (directions, Wi-Fi, tips), and a reminder early on the day before checkout.
These templates contain placeholders filled in from the listing or booking: guest first name, check-in and checkout date and time, address, directions, Wi-Fi name and password, house rules, confirmation code, city. A few points worth knowing, from the same page:
- if the information is missing from the listing, it displays as unavailable in the message: check every field;
- sends follow the listing's time zone;
- for last-minute bookings and short stays, some messages are skipped unless you turn on the dedicated option;
- deleting a template deletes all its unsent scheduled messages across every linked listing;
- co-hosts each have their own templates and cannot see each other's.
For an owner with one or two listings on Airbnb only, this is often all you need. Spend an hour writing the templates below and switch them on.
Which messages should you send, and when?
Here is the sequence I recommend. It is short on purpose: six messages over the whole stay, each with one clear goal.
| Timing | Goal | Key content |
|---|---|---|
| Booking confirmed | Reassure | Thanks, dates, next step |
| 3 days before arrival | Prepare the trip | Address, directions, check-in time, question about arrival time |
| Arrival day, morning | Get in without a call | Access code, Wi-Fi, contact if anything goes wrong |
| Day after arrival | Fix problems early | All good? One single question |
| Day before checkout | A clean departure | Time, instructions (keys, trash, linen) |
| After checkout | Get a review | Thanks, invitation to leave a review |
Which Airbnb message templates should you use?
The six templates below are examples I wrote for this article, not texts provided by Airbnb. Items in brackets are replaced by your tool's placeholders. Keep them short: guests read on their phone, often while walking.
To[Guest first name]
SubjectTemplate 1, booking confirmed
On confirmation
Hi [First name], thanks for booking in [City] from [check-in date] to [checkout date]. I will send the exact address and directions three days before you arrive. Any question until then? Just reply here.
To[Guest first name]
SubjectTemplate 2, getting ready to arrive
3 days before
Hi [First name], your arrival is coming up. The place is at [address]: [directions]. Check-in is from [check-in time]. What time do you expect to arrive? It helps us have everything ready at the right moment.
To[Guest first name]
SubjectTemplate 3, getting in
Arrival day, 10 a.m.
Hi [First name], here is everything you need to get in: lockbox to the left of the door, code [code]. Wi-Fi: [Wi-Fi name], password [Wi-Fi password]. If anything goes wrong when you arrive, message me here, I reply until 10 p.m.
To[Guest first name]
SubjectTemplate 4, all good?
Day after arrival
Hi [First name], I hope the first night went well. If anything is missing, let me know now: it is easier to fix today than at checkout.
To[Guest first name]
SubjectTemplate 5, checkout tomorrow
Day before checkout, 6 p.m.
Hi [First name], quick reminder for tomorrow: checkout before [checkout time]. Please put the keys back in the box, take out the trash and leave used linen in the bathroom. Safe travels!
To[Guest first name]
SubjectTemplate 6, thank you
Checkout + 2h
Thanks for staying with us, [First name]. If you enjoyed your stay, a review on Airbnb helps us a lot. And if something was not right, tell me directly: I would rather know so I can fix it.
What more does a multi-listing property manager need?
Airbnb messaging only sees Airbnb. As soon as your listings are also on Booking.com, Vrbo or booked direct, you need a property management system (PMS, or channel manager) that brings bookings from every platform together and sends messages in the right place. As far as I know, Airbnb does not offer open access to its API: these software vendors connect to it as partners. Check with the vendor that your platforms are covered.
Even with a PMS, there is often a gap: everything that does not involve the guest. Cleaning, linen, access codes, inspections, updates to the owner. This is where an extra automation, with a tool like n8n or Make, helps most.
How do you automate the team's work around bookings?
The idea: every new booking, change or cancellation in the PMS triggers a chain of actions for the team. Most PMS tools offer an API or webhooks (a message sent automatically to an address when something changes): that is the first thing to check.
- 01
Catch the booking
The PMS notifies the automation tool on every new booking. On screen, you see the data come in: listing, dates, number of guests.
- 02
Schedule the cleaning
A row is added to the cleaning team's schedule (spreadsheet or scheduling tool), with the previous guest's checkout time and the next guest's check-in time.
- 03
Alert the right person
The cleaner gets a message (text, WhatsApp or email) with the address, the time slot and the listing's instructions.
- 04
Handle changes
A cancellation or date change updates the schedule and alerts the team. This is the step people forget, and the one that avoids cleaning for nothing.
- 05
Morning summary
A summary goes out every morning: arrivals, departures, today's cleanings, and bookings with missing information.
A chain like this usually takes one to two weeks to build for a simple setup, longer if the PMS API is limited. It is the kind of project I run in my automation work for repetitive tasks. To choose the tool, my n8n vs Make vs Zapier comparison covers prices and differences. And if owners or guests also expect text reminders, the logic is the same as for automated appointment reminders.
What should you avoid automating with guests?
- Replies to complaints. A guest reporting a breakdown or a dirty place expects a person, not a template.
- Safety incidents: a leak, a jammed lock, a guest locked out. Keep an emergency number answered by a human.
- Special requests (very late arrival, pets, a crib): they need a tailored answer.
- Access codes sent too early. Send the code on arrival day, not at booking, especially if it does not change between stays.
- Duplicate messages. If the PMS and Airbnb both send the same template, the guest gets every message twice. Turn one of them off.

Frequently asked questions
How do you set up automated messages on Airbnb?
In host messaging, create a quick reply, then schedule it before or after an event, such as booking confirmation, check-in or checkout. Placeholders like the first name or check-in time are filled in automatically.
What messages should you send to an Airbnb guest?
Six are enough: on confirmation, three days before arrival, on arrival day with access details, the next day to check all is well, the day before checkout, and after checkout to ask for a review.
Why does my Airbnb message show a detail as unavailable?
Because the information the placeholder calls for is missing from the listing, such as the Wi-Fi name or check-in time. Fill in the field on the listing and the message will display correctly.
Do you need property management software to automate messages?
Not for one or two listings on Airbnb only: scheduled quick replies are enough. Once you manage several platforms or listings, a property management system brings bookings and messages together.
Can you automate the cleaning schedule from bookings?
Yes, if your property management system offers an API or webhooks. A tool like n8n or Make then adds each cleaning to the schedule and alerts the right cleaner, including when a booking is cancelled.
